Corporate Events: Photo Tips for Event Planners

If you’re planning a corporate event, here are some tips for getting great event photos, group photos of your guests, dazzling images of the speakers, and dynamic photos of award winners. An excellent set of final images is key to getting the most out of your post-event marketing efforts.

Providing clear instructions to your event photographer not only sets clear expectations, it also allows us to make exactly the photos you need. Then, we can go forth photographing your event with purpose and ease while you relax, trusting that we will create amazing images for you.

1. HOW THE IMAGES WILL BE USED   

Let the photographer know whether your event photos will be used on social media, email marketing, newspaper articles, or print marketing pieces. This will allow me to make the right photos for your needs. Typically, I am taking lots of different shots of everything (wide, zoomed in, interesting angles, different lighting) but if there is something specific you need, let me know.

2. WHAT IS THE TONE, FEEL, AND STYLE OF THE EVENT

Give the photographer some direction on the type of look and feel you’re hoping to get from your event photos. Do you want candid photos of people laughing and interacting? Or are you look for more posed groups of people smiling for the camera? Is the event formal and staid, or celebratory and unconventional?

3. WHO WILL BE THERE

When I cover a corporate or non-profit event, I like to have in my hand the final timeline of scheduled events set and a list of the event speakers, VIPs, influencers, or celebrities who will be attending. This may include high-profile donors, politicians, board members, or clients. I may need help identifying those people, so sometimes it helps to have a staff member circle the room with me a few times and point out the key attendees.

4. WHERE WILL THEY KEY MOMENTS HAPPEN

To get the best event photos, I Like to see the stage (if there is one) to know where people will be standing, speaking, sitting, and receiving any awards. These extra details help me know when and where to be for all of the key moments of the event. I also can anticipate lighting and lens needs to capture those photos correctly.

5. WHEN DO YOU NEED THE FINAL IMAGES 

I feel like it goes without saying, but you and your photographer should have an understanding of when you expect need to receive the final event photos and how we will deliver them to you. If you are expecting to receive any photos in real-time to post on social media, we definitely need to know that in advance so that we can make the necessary accommodations.
